In these terms and conditions, the World Symposium on Choral Music 2020 is ‘WSCM2020’ and the organising body, Symposium 2020 Limited is ‘we’, ‘us’ etc.
1. Registration Fee:
1.1 The registration fee includes access to WSCM2020’s programme of concerts, seminars, workshops and masterclasses, relative to the type of registration purchased. There are two types of registration types: delegates and accompanying persons. The types of registrations are:
(a) Delegates (individuals and groups) - Full Symposium Registration
(b) Delegates (individuals and groups) - Half Symposium Registration
A Half Symposium registration is available for either 11 – 15 July 2020 or 15 – 18 July 2020, and includes:

An accompanying person is a person accompanying a delegate. Each delegate may book up to two accompanying persons. An accompanying person registration includes:
Accompanying person registrations are not able to access or participate in the seminars, workshops and/ or masterclasses.
1.5 In these terms and conditions, delegates and accompanying persons are collectively referred to as ‘registrants’.
2. Cancellation Policy
2.1 All cancellations must be advised in writing by the registrant to us by email at
2.2 For cancellations received in writing on or before 31 December 2019, 100% of the registration fee will be refunded, less an administration fee of NZD50.00.
2.3 For cancellations received in writing between 1 January 2020 and 31 March 2020, 75% of the registration fee will be refunded.
2.4 There will be no refund for cancellations received on or after 1 April 2020.
2.5 We accept no responsibility for costs incurred by the registrant in attending WSCM2020.
2.6 Except as set out above, no refunds will be given to registrants who do not attend WSCM2020, for whatever reason.
2.7 Substitutions of another person for a registrant can be made prior to WSCM2020, should the registrant not be available to attend. This will incur a NZD50.00 administration fee. Please email us at , referring to the registrant currently registered and providing the name, organisation and email of the person that will be attending as the replacement registrant.
3. Payment
3.1 We accept payment via VISA and MASTERCARD and Direct Credit.
3.2 Payment or proof of payment must be made in order to receive registration confirmation. Please note that your registration is not guaranteed until payment is received.
3.3 We are a New Zealand-registered limited liability company operating in New Zealand. All transactions will be billed in New Zealand dollars and must be paid to us in New Zealand by one of the methods described below.
3.4 We use the Stripe, Inc payments platform for all payments processed on our website. If you make a payment on our website, Stripe, Inc will process your payment. If you make a payment using a credit card, Stripe will encrypt and store your payment card number securely, in accordance with Stripe’s Privacy Policy available at https://stripe.com/nz/privacy. Stripe protects personal information (at a minimum) to the Payment Card Industry Data Security Standards (PCI-DSS). Your payment card number is not held by and is never revealed to us.
4. Credit Card - Visa or MasterCard only
4.1 Your card will be debited immediately for the full amount. Please note that if paying by credit card, a credit card fee of 2.9% will be charged at the time of payment in addition to the normal registration fee.
5. Direct Credit
5.1 By arrangement with us, payment can be made by direct credit to the specified bank account. Please note that if paying by direct credit from a bank based outside of New Zealand this will incur a NZD17.25 Inward International Payment fee in addition to the normal registration fee.
6. Registration Confirmation
6.1 Confirmation of registration and payment will be sent to you by email upon completion of your registration and receipt of payment. Please check this information for accuracy and promptly notify any corrections to us at .
6.2 The final programme with choirs, days and time of concerts, seminars, workshops and masterclasses will be available on the WSCM2020 website in early 2020. When this information is released, you will receive an email to select the sessions that you would like to attend, subject to availability.
6.3 Sessions within the WSCM2020 programme will be available to be booked on a first-come basis, and there may be limited availability for some sessions. Further details on the session booking process will be distributed in early 2020.
7. Liability/Insurance
7.1 Registration fees do not include insurance of any kind.
7.2 We recommend that registrants ensure that they have appropriate travel and medical insurance. Please check with your local advisor(s) as to the scope and level of insurance cover you may require. For example, loss of fees through cancellation of your participation in WSCM2020 or inability to attend, airfares, medical expenses and repatriation.
7.3 In the event of industrial disruptions or natural disasters, we will not accept responsibility for any financial or other loss or damage incurred by delegates, injury or damage to property or persons, however caused.
8. Visa Requirement
8.1 It is the sole responsibility of the registrants to take care of their visa requirements. Registrants who require an entry visa to New Zealand must allow sufficient time for the application procedure. Registrants should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications. Lack of a visa will not of itself qualify for a reimbursement of registration fees - see paragraph 2 above for reimbursement conditions.
9. Alterations to the WSCM2020 programme
9.1 Whilst every effort will be made to preserve the list of choirs, presentations and speakers as represented, we reserve the right to make alterations to the conference programme, venue and timings at any time.
10. Liability
10.1 If WSCM2020 is cancelled, changed or interrupted for any reason whatsoever, we will not be liable to registrants for any direct or consequential losses or costs incurred, including but not limited to transportation and accommodation costs.
10.2 In the unlikely event that WSCM2020 is cancelled, registration fees will be refunded, after the deduction of expenses already incurred.
11. General Notices
11.1 We reserve the right to change the terms and conditions under which WSCM2020 registrations are offered (including registration fees) at any time. Any such change in terms and conditions will be effective as soon as reflected in the text of these terms and conditions as published on the WSCM2020’s web page. You are responsible for reviewing these terms and conditions regularly to ensure that you are aware of any updates.
12. Privacy policy (data protection)
12.1 We will collect, hold and use any personal information provided to us in accordance with our Privacy Policy and Data Processing Consent.
